Policies
Welcome to University of Mary’s Catering Services! Our mission is to provide you with exceptional quality and service. Our professional staff are available to assist in planning your special event. Please contact University of Mary Catering at catering@umary.edu or (701) 355-8347 for customized service and menus.
To ensure optimal selection and the best possible service, we kindly ask that events be booked at least ten (10) business days in advance. We understand events arise unexpectedly and we will do our best to accommodate your needs, however we cannot guarantee our availability for events booked less than ten (10) business days prior to the event date. A 15% late order fee will be applied for all orders placed less than ten (10) business days prior to the event date. A 25% late order fee will be applied for all orders placed less than five (5) business days prior to the event date. University of Mary Catering reserves the right to deny or cancel orders that are not submitted or confirmed with at least ten (10) business days of notice.
Confirmation of the estimated number of guests is required at the time your order is submitted. Menu and service details must be finalized by the customer ten (10) days prior to the event. A final guaranteed number of guests is required five (5) business days before the event. Billing will reflect the final headcount received five (5) business days prior or the actual headcount at your event, whichever is greater.
All published and quoted prices are subject to change without notice. Some prices are quoted based on current market prices and will fluctuate accordingly.
If you must cancel a previously planned event, cancellation must be submitted in writing to catering@umary.edu as soon as possible to avoid late charges. Cancellations submitted three (3) business days in advance will be charged any expensed incurred. Cancellations received less than three (3) business days prior to the event date will be charged the full amount. If your event needs to be rescheduled, please notify us at least three (3) business days prior and you may be subject to charges for any expenses incurred.
If inclement weather is approaching, the university will make an announcement regarding the cancellation of events on campus. If they post a cancellation due to weather, we will adhere to their announcement and automatically cancel your catered event at a 100% refund if your event is rescheduled. Please note: if your event is still being held and the university has closed, we cannot accommodate your event. Our catering coordinators will do their best to reach out to each client to confirm cancellations and to reschedule the canceled events. Payment for school sponsored catered events is due within 30 days of billing date.
All catering orders to be paid from University of Mary accounts must provide an accurate account number at the time the order is placed. Payment for external client events will be due 30 days after receipt of the final invoice from University of Mary Events Office. State and local taxes will be added as appropriate. All organizations that are tax-exempt must send their certificate to the catering@umary.edu at the time the order is placed.
All non-food related equipment must be requested by contacting the University of Mary Events Office, which will include room reservation, setup and room configuration, audio visual and other general information. Catering is not responsible to provide, set up, or remove equipment reserved through University of Mary Events Office. Please ensure a food-staging area and service tables can fit in the space if a kitchen space is not available. Equipment must be set up and venue must be unlocked two (2) hours prior to the start of the event. Clean-up for late-night and weekend functions may occur on the next business day. Chartwells catering is not responsible for equipment or personal belongings left in public areas. Customers will be billed replacement costs for missing or damaged catering equipment or supplies. An additional set up fee may be applied to events taking place outdoors.
Food safety and sanitation is University of Mary Catering team’s priority. Any unused food remains the property of University of Mary Catering and cannot be removed from an event in accordance with state health regulations. All condiments and disposables also remain the property of University of Mary Catering.
Special diets can be accommodated upon request; we kindly request that your needs be submitted as soon as possible. If you have any questions regarding your dietary needs, please reach out to catering@umary.edu and we would be happy to help. Additional fees may apply to adjusted meals.
All buffet and plated meals include adequate wait staff. Should you desire additional servers, or for an event that attendants are not assigned, you will be billed $25.00 per hour service fee. All events requesting Bar Service are required to complete the University of Mary’s Alcohol Service Request Form. All alcohol must be served by University of Mary Catering Staff, which will be billed to the client at $25.00 per hour, with a minimum of 2 hours per event.
There is no delivery fee for catering services held on the Main Bismarck Campus, located at 7500 University Drive, Bismarck. Off campus events will be charged a minimum $50 delivery fee. Catering orders will include necessary utensils, dinnerware, and condiments in quantities consistent with your order. Pick-up orders are limited to disposable service ware only.
2000 calories a day is used for general nutrition advice, but calorie needs vary. Additional nutrition information available upon request.
